Information We Collect

Information you provide directly. When you complete a contact form, submit a broker inquiry, request property information, or correspond with us by email, you may provide:

• Name, email address, phone number, and company affiliation
• Property interest details, investment criteria, or lease requirements
• Deal documents that brokers upload, such as offering memorandums, which may include tenant and lease information
• Property details that owners send us, such as address, size, occupancy, timeline and price expectations
• Lease applications, including your home address and contact details, business information, landlord references, and copies of your credit report, driver’s license and company formation documents
• Messages you type into the Ask ORA chat assistant, and anything you choose to share with us through its contact form

Information collected automatically. When you visit our website, our analytics services may collect:

• Google Analytics (GA4): pages viewed, clicks on phone numbers, email links, PDFs and main buttons, referral source, device and browser type, and approximate location. If you click Accept, Google Analytics sets cookies that give your browser a random identifier. If you click Decline, or before you choose, no analytics cookies are set, but your browser still sends Google basic page-view information (the page address, browser details and your IP address, as part of the request), which Google uses for aggregate and modeled reporting. Advertising features are turned off. You may also opt out attools.google.com/dlpage/gaoptout.
• Server logs: IP address, browser type, referring URL, and timestamp, retained by our hosting provider (Netlify) for operational and security purposes. Our forms also record the date, your IP address and browser with each submission, and we record IP addresses to limit abuse of our upload and chat features.

How We Use Your Information

We use the information we collect for the following business purposes:

• Responding to inquiries — replying to property, investment, or tenancy questions you submit through our forms or email
• Broker network management — evaluating and communicating with broker partners who submit deal opportunities
• Tenant communications and applications — evaluating lease applications, including the credit and background checks you authorize, and managing lease-related correspondence and maintenance coordination
• Website improvement — analyzing aggregate traffic patterns to improve content, performance, and user experience
• Legal and regulatory compliance — maintaining records as required by applicable law

We do not sell, rent, or trade your personal information to third parties for marketing purposes, and we do not share it for targeted advertising. We have never done so and have no intention of doing so.

Information Sharing

We may share limited information with the following categories of service providers, solely to support our business operations:

• Legal counsel and closing attorneys — in connection with real estate transactions
• Property management vendors — to coordinate maintenance and tenant services
• Technology providers — including Netlify (website hosting and form submissions), Microsoft 365 (email and document storage), Anthropic (the AI chat assistant, and automated review of deal documents that brokers upload), Google (Analytics and reCAPTCHA), and HubSpot (our CRM, where we record contacts and leasing and acquisition activity), each of which maintains its own privacy practices. Map pages also load map images from OpenStreetMap and mapping code from unpkg.com, which receive your IP address when a map loads.
• Regulatory and legal authorities — where required by law, court order, or governmental investigation

Data Security

We implement reasonable administrative, technical, and physical safeguards to protect your information. Our website is served exclusively over HTTPS with HSTS enforcement. We use Content Security Policy headers to help protect against cross-site scripting. Access to internal systems is restricted to authorized personnel on a need-to-know basis.

No method of electronic transmission or storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security.

Cookies and Tracking

Our website uses a limited number of cookies and tracking technologies:

• Google Analytics cookies (_ga and _ga_YDSX0RW5HC) — used for traffic analysis and set only after you click Accept on our cookie notice. They are first-party cookies that expire two years after your last visit. If you click Decline, no analytics cookies are set. You may also disable them through your browser settings or the Google Analytics opt-out browser add-on.
• Google reCAPTCHA — our contact, tenant application and broker forms use reCAPTCHA to block spam. It may set Google cookies and send Google information about your device, and is subject to Google’s Privacy Policy and Terms of Service.
• Netlify — measures page-load performance on every page.
• Your browser — we store your cookie choice, the current chat conversation (cleared when you close the tab) and, if you save a draft of the tenant application, your answers (not uploaded files) on your device for up to seven days.

We do not use advertising cookies, retargeting pixels, or social media tracking scripts.

AI Chat Assistant

Our Ask ORA assistant is an AI tool. The messages you type are sent to our AI provider, Anthropic, to generate replies. We do not keep chat transcripts unless you send your conversation to us through the chat’s contact form, in which case your contact details and the recent part of the conversation are sent to us with your request. Please do not enter confidential or sensitive information in the chat.

Third-Party Links

Our website may contain links to third-party sites, such as Google Maps, property listing platforms, or professional networks. We are not responsible for the privacy practices of these external sites and encourage you to review their respective policies.

Children's Privacy

Our website and services are not directed to individuals under the age of 18. We do not knowingly collect information from children.

Your Rights and Choices
